How TutNote handles your tutoring records, device permissions, and visits to this website.
1. Publisher and contact

2. Information you enter
TutNote stores the information you choose to enter about your tutoring work. This may include student names, school classes, phone numbers, notes, lesson rates, billing schedules, lesson formats, and addresses.
Records also include lessons and recurring series (dates, times, topics, notes, locations, prices, and statuses), homework titles and descriptions linked to lessons, assessment types, titles, dates and notes, and manually recorded payments and their lesson allocations. Records have identifiers and creation or update timestamps.
TutNote records payments; it does not process payments or transfer money. Enter only information you are entitled to store, including when teaching children.
3. Local storage, iCloud, and access
TutNote uses Apple’s SwiftData framework to store records on your device and synchronize them through your private CloudKit database in iCloud. Synchronization uses the iCloud account signed in on your devices and is asynchronous. Data stored locally remains usable offline when the app’s store can be opened.
The app does not send your tutoring records to a publisher-operated server. The publisher has no routine access to records in your private CloudKit database through TutNote. Apple operates iCloud and processes data under its own terms and privacy policy. A private database does not mean the information is inaccessible to Apple or to anyone with access to your account or device.
Preferences, reminder settings, calendar identifiers, and export state are stored locally on each device. CloudKit account status and synchronization errors are displayed in the app’s settings. Device or iCloud backups may also retain data according to your Apple settings.
4. Optional Apple Calendar export
Calendar export is off by default. If you enable it, TutNote requests full calendar access so it can find, create, update, and remove its exported events. It requires iCloud Calendar and uses a separate calendar named TutNote.
Exported events contain the lesson start and end times, a title containing the student’s name, the lesson topic in the event’s notes, an address for in-person lessons where provided, and a link containing the lesson’s identifier that opens its details in TutNote. Private lesson notes, contact details, rates, payments, homework, and assessments are not exported.
People or services with access to that calendar may see the exported information. TutNote reads calendar events to reconcile its exports; it does not import calendar edits into tutoring records. Edit lessons in TutNote.
Turning export off removes TutNote’s exported events when calendar access is available, leaving the calendar itself. If access is revoked or iCloud Calendar is unavailable, removal may wait until access returns; you can also remove the separate calendar manually in Apple Calendar.
5. Local reminders
Reminders are scheduled on your device through Apple’s notification system. They require your permission and do not use a publisher push-notification server. Lesson reminders can include a student’s name and the time until the lesson. The current app schedules reminders for lessons, not assessments.
Depending on your system settings, this information may appear on the lock screen or in notification previews. Manage preview visibility and notification permission in your device’s Settings. Reminder preferences and scheduled notifications are separate on each device.
6. Analytics, tracking, and external services
The current application includes no advertising, analytics SDK, tracking, or third-party app dependencies. It uses Apple services for iCloud synchronization, optional calendar export, and local notifications. Its privacy manifest declares no tracking and no collected data types.
If you contact support, the information you voluntarily include is visible to the publisher and the email providers handling that correspondence. Do not send student information or unredacted screenshots. Support correspondence may be kept as needed to handle your request and meet applicable legal obligations. You can contact the publisher to ask about or request deletion of your support correspondence.
7. Retention and deletion
Your tutoring records remain stored until you remove them using available controls or manage the app’s iCloud data through Apple’s account tools. The current app does not provide a delete-all-data command or permanent student-profile deletion. Archiving a student hides the profile from the active list; it does not delete that student or their records.
- You can edit student details and notes to remove information from those fields.
- You can permanently delete a lesson or an entire recurring series, including past lessons. Related homework and payment records remain, with links to deleted lessons cleared.
- You can delete individual homework assignments and assessments.
- You can undo a recorded payment, which removes that payment and its allocations. It does not transfer or refund money.
App deletions are intended to synchronize to iCloud when synchronization is available; other devices may retain copies until they sync. Previously exported calendar information and backups need separate consideration. Uninstalling TutNote must not be relied on to delete its iCloud records. Check Apple’s iCloud storage controls for app data removal options available to your account and device. This policy does not promise immediate removal from Apple backups or systems.
8. This website
This website is a static informational site. It has no analytics, advertising, cookies, tracking scripts, third-party embeds, account system, or submission forms. Fonts and images are served with the site. We do not collect student information through this website.
The website is hosted through Cloudflare Pages. To deliver pages and protect the service, Cloudflare processes technical request information such as IP addresses, requested URLs, traffic-routing data, and browser or system information. Cloudflare may retain network and security data for its service purposes and legal obligations; retention depends on the type of data and purpose rather than a single period set by TutNote. For details, see Cloudflare’s privacy policy, including its sections on End Users and Data Retention. The publisher does not operate a separate visitor-log database or enable website analytics. Following an App Store link opens Apple’s service. Sending email uses your email service and the recipient’s email service.
9. Changes to this policy
This policy will be updated when the app or website’s data practices change. The date above identifies the latest update. Privacy questions can be directed to the contact listed in section 1.
